Offline Curation: How to Update Your Curation Google Sheets

This guide outlines the steps, best practices, and crucial rules for updating the Official Response data for your hotel properties. To ensure your properties' data is accurate and to prevent any issues when Bonafide re-ingests your updates, please review these instructions carefully before making edits.

To make delegation easy and to keep brand data separate, you will receive individual Google Sheets for each property.


📝 How to Make Your Updates

Your Google Sheets are color-coded to guide your workflow. Every other row is colored to help you track data horizontally and avoid misalignments.

  1. Locate the Input Columns: Look for the designated input columns (typically colored blue, starting around column O).
  2. Update the Response: Enter your new or updated answers in the Official Response column.
  3. Add Links: If applicable, provide supporting URLs in the Official Links column.
  4. Log Your Name: Enter your name (or the property manager's name) in the Updated By column. You only need to type your name once per sheet—you do not have to fill it into every single row.

To ensure a smooth re-ingestion process and avoid corrupting the database, please adhere to these strict guidelines:

The Do's

  • DO update the "Official Response" and "Official Links" only within the designated input columns.
  • DO delegate to property managers if needed. If you prefer not to work in Google Sheets, you can download the sheet as an Excel file and send it to your specific property managers.
  • DO maintain the exact formatting. If you download the sheet to Excel, you must keep the exact naming conventions, tabs, and layout when returning the files to Bonafide.
  • DO rely on automation. If you change an "Official Response," the system will automatically change the status to "Verified" when the data is ingested. You do not need to manually change the verified status yourself.

The Don'ts

  • DON'T delete individual cells and shift the data. Never delete a single cell and choose "Shift Up" or "Shift Left." This will misalign the entire sheet and cause critical errors during ingestion.
  • DON'T alter the locked identifier columns. Columns A through F (such as Market, Property, and Topic Name) are locked and protected. Do not attempt to modify these, as they are required to map your updates back to the correct database record.
  • DON'T worry about the "System of Record" or "Verified" statuses. The sheets are pre-filtered to hide previously verified items so you can focus on what needs attention. Changing the statuses manually will be ignored by our ingestion scripts.
  • DON'T mix edits across formats. If you download the file as an Excel sheet to make edits offline, do not simultaneously make edits in the live Google Sheet. Choose one format to avoid version control conflicts.

💡 Recommended Best Practices for Delegation

Because Aimbridge manages a variety of brands, you likely want to send specific property sheets only to the managers of those respective properties.

  • Assigning Sheets: Provide the individual Google Sheet link (or downloaded Excel file) directly to the relevant property manager.
  • Tracking Ownership: Have the property manager type their name into the Updated By column. This allows us to map the curated responses directly to the correct delegate.
  • Column Customization: If you find supplementary columns (like the consensus data on the far right) distracting, you are free to delete those specific informational columns. However, never delete the Official Response, Official Links, or the locked identifier columns on the left.

⏱️ What Happens After You Finish?

Once your team has completed the updates, please notify your company and/or email Bonafide at support@bonafide.ai along with your name, your property name, your management company name and let them know you have completed your offline curation.

Please note: Data ingestion is not an overnight process. Re-ingesting, mapping, and pushing the new Official Responses into the system takes dedicated processing time. Depending on our capacity and the volume of your updates, please expect ingestion to take a few days to a week. If you have a strict deadline, communicate that to us in advance so we can reserve the capacity to process your files promptly.
